Lady Lakers Volleyball Club – November Meeting Minutes 

When: Wednesday, November 6 Where: Lake of the Woods Arena Time: 6:00 pm 

Present: McCall Plourde, Wendy Peterson, Jordan Sonstegard, Karen Ferrier, Kristi Roth, Justin Quo, Courtney Hanevold, Matti Nelson, Sam Lucek 

Meeting called to order: 6:00 pm 

Approval of Agenda & Previous Meeting Minutes: 

● Motion to accept meeting agenda and previous meeting minutes: Wendy ● Motion Second: Courtney

Treasurer’s Report 

● No transactions since last meeting. It’s only been 2 weeks since October 26. ● Wendy completed the paperwork to offer ACH for a payment schedule at tryouts. ACH form was completed with Nicole Olson at Border Bank.

● Motion for Wendy to create a Square account: Courtney

● Action Items: 

○ Wendy will send out an email to all members with a tryout reminder, check-in information, ACH form, etc. 

○ Wendy will set up a Square account to offer another form of payment ○ Wendy will look into purchasing a PO Box for the club 

Old Business 

1. Tryout Logistics: 

● Check in begins at 12:00 PM 

● Parents/Players must provide: 

○ Player must be accompanied by a parent/guardian at check-in 

○ Purchase and proof of USA Volleyball Membership 

○ Tryout Fee: $50 

○ Season Club Fees: $525 

○ Water bottle, shoes, knee pads, appropriate athletic wear, pony-tail 

● Tryout break (2:30-3:00 pm) will be limited to what LLVC is renting at LOW School: the Main Gym and the Commons Area. Tryouts in the multi-purpose gym will be concluded at 2:30. Players are not permitted to leave the school. 

● Registrants changed from 53 players to 52 players 

● Courtney hosted a short meeting with new tryout coaches 

● LLVC has been notified of 2 registered players who are unable to attend tryouts due to medical leave – players will be placed on an age/grade appropriate level. ● Motion to accept 2 registered players excused from tryouts due to medical leave: Sam

● Justin Quo stepped down from participating in tryouts. 

● Jordan Sonstegard will step in and work tryouts. 

● Motion to appoint tryout coaches: Jordan Sonstegard, Karly Thompson, Danielle DeWitt, Cody Nelson, Courtney Hanevold, Nicole Olson: Wendy 

● Motion Second: Sam 

● Motion: Passed 

● Action Items: 

○ Matti will supply keys and assist Courtney and Justin with gym set-up ○ McCall will confirm that the divider in small/big gym will be moved 

○ Wendy and Sam will work the check-in table 

○ Matti will provide snacks and Sam will provide gatorade powder for the break ○ Wendy will bring nametags and list of registrants sorted by age 

2. Parent Meeting – 12:30 PM in ITV Room 

● Handbook and By-Laws: Where to find them, short summary/key points/changes from Annual Meeting (McCall/Matti) 

● Projected tournament selection and tourney expectations, logistics, FAQ (Matti) ● Projected practice start date, expectations, logistics, FAQ (Matti) 

● Fundraising – Meat Raffles at Williams Wilderness Bar, Moose Lodge, American Legion, Adult VB Tournament in December, Ditch Pick in May for 2026 Season (Wendy/McCall) ● Season Fees, Payments, Breakdown of Costs (Wendy/Matti) 

● Coach Conduct (Matti) 

● 2025 Season Coaches – Teams/Coaches announced following tryouts (Matti/Justin) ● Upcoming board meeting dates, our roles, expectations, logistics (McCall) ● Grievance Coordinator and process 

● The Game: sport summary, rotations, offense/defense, roles on the court, playing time (Matti/Justin) 

● Action Items: 

○ Matti will communicate presentation prep/info via Team Reach with LLVC Board 3. Payment Options

4. Website – Move to December Agenda 

● Website domain needs to be connected to our current Weebly website ● Courtney provided pricing for GoDaddy hosted sites 

● Table to December Meeting 

New Business 

1. Tournaments 

● Conflicting dates the Board will take into consideration when registering for tournaments: ○ March 22 – Dance Competition 

○ April 5 – Coach Nelson and Coach Thompson will both be unavailable

○ April 26 – Prom 

○ May 3 – Coach Quo unavailable 

2. Logo/Clothing 

● Discussion about previous team wear. All agree that an online store is preferred. Would like to get a team store up in preparation for Christmas shopping. Table to December Meeting. 

● Action Items: 

○ McCall will reach out to Warroad Threads 

○ Matti will reach out to Hasbargen Customs 

3. Fundraisers – Meat Raffles, Adult Volleyball Tournament 

● McCall has emailed LLVC Members available Meat Raffle dates 

● Wendy has emailed LLVC Members current fundraising balances 

● Double check and confirm at tryouts: assigned meat raffle dates and parent emails ● Courtney presented information and a poster mock-up for the Adult Tournament ● Date set for Saturday, December 28 from 8 am – 4 pm (or until tournament play concludes) 

● This would serve as a fundraiser similar to the Lake of the Woods Elementary Volleyball Tournament. Players will be required to help ref/work the tournament. Players will be assigned food/drink to bring. 

4. Board Assignments 

● Discussion to keep a running list of board assignments and responsibilities throughout the season 

○ Wrap Up Party –

○ Jerseys – McCall/Courtney 

○ Register and Roster Tournaments – Matti/McCall
