Lady Lakers Volleyball Club – October Meeting Minutes

When:  Wednesday, October 23, 2024 Where: Lake of the Woods Arena Time: 5:00 pm

Present: McCall Plourde, Jame Johnson, Wendy Peterson, Angie Eason, Jordan Sonstegard, Karen Ferrier, Sarah Baade-Gubbels, Justin and Margaret Quo, Courtney Hanevold, Matti Nelson, Karly Thompson, Sam Lucek, Emily Brandt

Meeting called to order: 5:00 pm

Approval of Agenda & Previous Meeting Minutes:

Treasurer’s Report

  • Correction from September Meeting, 8/12/2024 Deposit was $150, not $450
  • 1 Deposit from Moose Lodge: $400, 4 Meat Raffles
  • 2 Deposits from Roosevelt/William’s: $300 total, $100 will remain with the club
  • Motion to accept Treasurer’s Report: Courtney

Old Business

  1. Bank Account Addition
    • Documents pending signatures from LLVC Board Members. Signatures were completed during the meeting. Border Bank account transition will be complete prior to tryouts.

New Business

  1. Out of District Players
    • Board received 2 tryout registrations from Canadian Residents
    • Discussion of numbers being strong enough with ISD 390 registrants that accepting Out of District (OOD) registrations  is unnecessary 
    • Discussion to inform OOD registrations of the USA Volleyball guidelines and processes to play as non-residents of the US. 
    • Motion to not accept Out-of-District registrations for the 2025 Season: Matti
    • Motion Second: Courtney

  2. Set 2025 Season Fees
    • Matti prepared documents with different fee scenarios based on the 2025 Budget. See attached file. Discussion to set fees to reflect the worst case scenario to avoid asking for additional fees following tryouts and player/team acceptance. 
    • Vote to set 2025 seasons at $525/player
    • Motion to set 2025 Season Fees at $525 a player: Justin

  3. Tryout Logistics
    • Tryout coaches: Courtney Hanevold, Justin Quo, Karly Thompson, Nicole Olson, Cody Nelson, Danielle DeWitt
    • Courtney will schedule and facilitate a meeting with tryout coaches prior to tryouts regarding expectations, logistics, etc.
    • Courtney will encourage coaches to bring their own whistle
    • Wendy will bring clipboards and print name tags for player color coded by USA Volleyball age definition
    • Teams will be made by the tryout coaches. Top players will be put on the top team.
    • Motion for tryout coaches to create 6 teams with a minimum of 8 players per team based on 53 registrations: Wendy

  4. Parent Meeting Required on Tryouts Day – November 10
    • More information at November 6 Meeting
  5. Tournaments
    • Discussion of possible tournaments. LLVC Board Members will try to avoid scheduling on consecutive weekends with the intention of at least every other weekend. Board will not register for tournaments until teams are determined following tryouts.
  6. Holiday Adult Tournament Fundraiser
    • Courtney presented information and a poster mock-up for the event
    • Date set for Saturday, December 28 from 8 am – 4 pm (or until tournament play concludes)
    • This would serve as a fundraiser similar to the Lake of the Woods Elementary Volleyball Tournament. Players will be required to help ref/work the tournament. Teams will be assigned food/drink to bring.
    • More details to come.
